For managing the documents, the record of the document material is very important. In the Slovenian public administration, it is most often conducted with Lotus Notes – SPIS 1.45 information system. The problem is that employees in the main office must correctly and manually enter the data in the record of the document material, and in doing so, they make mistakes. Therefore, it is proposed to introduce the bar code in managing of documents in the Ljubljana Administrative Unit.
The diploma thesis analyses the process of managing documentary material. Introduction of the bar code in the Ljubljana Administrative Unit is presented in detail, namely the plan (procedure) of introducing the bar code, the goals of introducing the bar code, the amendments, the necessary equipment, the preparation of a software solution, display of process renovation after the introduction of the bar code, and analysis of the benefits of the introduction of the bar code. On the basis of a questionnaire, which was filled in by the employees of the Ljubljana Administrative Unit, a picture of the situation about the introduction of the bar code into the Ljubljana Administrative Unit was obtained. Since employees encounter a large number of documentary materials that they need to process without human error while entering the data, it is proposed to introduce a bar code type 128 since the testing QR code, which was on the return receipt, was sensible and non-readable if it was crushed or torn.
